The problem it solves
Running multi-site warehouse operations means a lot of data is generated in real time: lots received, pre-dispatch inspections done, containers stuffed, shipments dispatched. But turning that data into an email update that reaches the right people at the right time has traditionally meant someone manually pulling a report, formatting it, and sending it — inconsistently, or as a bottleneck.
HOPS AutoMailer removes that manual step entirely. Once a report type is configured for a site, it goes out automatically — daily, twice-daily, hourly, weekly, monthly, or quarterly, depending on what the operation needs.
What it does
The system runs continuously. Every hour (and every minute for the umbrella dispatcher) it checks which reports are due, composes each as an Excel file, and delivers it to the configured recipients. An administrator can toggle any report off from the dashboard and it stops immediately.
- Pick and receive confirmation — site-level activity confirmation, up to 10 times a day on busy sites.
- Packing and dispatch confirmation — summarises pick-and-receive plus end-to-end packing, twice a day.
- TAT (turnaround time) chart — shows how long each stage is taking, several times a day.
- Lot-wise report — one row per lot: model number, identification codes, lot and pack type, commodity, destination, and timestamps for every major stage (PDI start/end, cubing start/end, planned dispatch).
- Container (shipment-wise) report — the full journey of each container: OEM and customer, invoice and order numbers, lot count, all stage start/end times, box count, container number.
- PDI (Pre-Dispatch Inspection) report — flags every inspection defect: check item, defect type, remarks, raised and resolved time.
- Receiving summary report and end-to-end packing report — goods-received and full packing-flow summaries per site.
- OPS MIS report — the executive-level view: multiple tabbed sheets with a dispatch-summary pie chart, country-wise dispatch bar chart, top-5 export destinations, periodic load comparisons, and a defect Pareto or commodity export trendline.
- Inventory ageing snapshot — runs once daily to calculate per-item stock age from the goods-receipt ledger, feeding the inventory-ageing view in the HOPS dashboard.

- Administrators who configure which reports go to which teams, at what frequency, and over what date range — all through a web dashboard, no code changes needed.
How you use it
An administrator opens the site mailer configuration screen and sets up each report: the schedule (specific times of day, every hour within a window, specific weekdays, or specific monthly or quarter-end dates), the date range the report covers (today, current week, month, or quarter), the recipients (To, CC, and BCC), and the email subject and body. After that it runs on its own. Each scheduled job can be individually enabled or disabled without touching code.
Works with
Draws report data from the HOPS platform's own database. Syncs reference data (cost centres, customer lists, location master, vendor lists, GRN status, purchase-order status, user lists) from HoliBook, an internal finance and operations system (documentation pending). Inbound shipment data arrives from the yard management side of the operation via a YMS integration.
